Automations
Let routine tasks around your calls happen on their own — like sending a follow-up message or saving the call to your records.
Some little jobs come up again and again after a call. Someone phones your shop to place an order, and afterwards you want to send them a thank-you message. Or a patient calls your clinic, and you want that call saved to your customer list so nothing gets forgotten.
Automations do these small, repeating tasks for you — quietly, in the background, every single time. You set them up once, and your assistant takes care of the rest.

The simple idea: "when this happens, do that"
An automation is just a rule you write in plain words. It has two parts:
- When this happens — for example, when a call ends.
- Do that — for example, send the caller a text message.
That's the whole idea. You pick the moment, then you pick what should happen. Calleague does it for you, the same way, every time — so you never have to remember.
Think of an automation like a helpful note to yourself that never gets lost: "Whenever someone calls about an appointment, send them a confirmation." Except you don't have to do it — it just happens.
Everyday examples
Here are a few things people set up most often. You can use these as they are, or change them to fit your business.
| When this happens… | …do that |
|---|---|
| A call ends | Send the caller a thank-you or follow-up message |
| A call ends | Save the call (and what was said) to your customer list |
| A caller asks for a callback | Let your team know so someone can ring them back |
| Someone books an appointment | Add a reminder and notify the right person |
| A call comes in after hours | Send a polite message and log it for the morning |
What you can do at the end of a call
When a call finishes, you can choose one or more of these actions to happen on their own:
- Send a message — a text, an email, or an in-app note to the caller or to your team.
- Save the details — keep the call and its summary in your customer records, so it's all in one place.
- Tell a teammate — give the right person a heads-up that something needs attention.
- Hand it onward — pass the information to another tool you already use, like your calendar or customer list.
You stay in control. Nothing happens unless you've turned the automation on. You can switch any of them off at any time.
How to set one up
You build automations in the app at app.calleague.ai — no special skills needed. The steps are simple:
- Go to the Automations area.
- Click New automation.
- Choose when it should run (for example, when a call ends).
- Choose what should happen (for example, send a follow-up message).
- Write your message or pick the details, then click Save.
- Turn it on — and you're done.
From now on, that task takes care of itself.
Not sure where to start? Calleague offers ready-made starting points for the most common jobs. Pick one, adjust the wording to sound like you, and save it. You can always fine-tune it later.
Watching your automations
Everything an automation does is written down for you, so you're never in the dark:
- See a list of everything that ran and when.
- Check that each one finished successfully.
- Look back at the details if you ever want to know exactly what happened.
If something didn't go as expected, you'll be able to see it and fix the rule in a few clicks.
A few friendly tips
- Start small. Set up one simple automation first, watch it work for a day, then add more.
- Keep messages warm. Write your follow-up messages the way you'd actually speak to a customer.
- Review now and then. As your business changes, your automations can change with it.
When you send messages automatically, make sure people are happy to hear from you. It's always kind — and the right thing — to let callers know they may receive a follow-up, and to honour anyone who asks not to.
Where to go next
- Voice assistants — the assistants that answer and make your calls.
- Connecting your other tools — so your assistant and automations can update your calendar, customer list, and more.
- Your data and privacy — how your calls and information are kept safe and private.
